The Custom Report Modification Page allows the user to select from a set of data fields that represent Properties (e.g. Address, Client Name) and Milestones (e.g. Date Exchanged) of the stored cases.

The available set of fields is given below. Note, however, that there can be up to four clients involved in a transaction and field definitions are only given for the primary client. The other three clients have identical fields that are annotated (e.g.) Client2 forenames, Client4 town, Client3 work tel, and so on.

Abort date The date that the sale was aborted. The date will only appear if the Sale or Matter Abortive Process has been actioned by the user.
Billed Set to 1 if the customer has been billed for the transaction by Intelligent Conveyancing.
Case code The case code assigned by the firm. The Case code is a unique reference used within a law firm to refer to the case, but is not guarunteed to be unique across multiple firms.
Case ID An internal value that is mapped to the case code, Customer ID and other values to produce a unique case identifier. This is normally only of interest to Icon Administrators.
Client county The "county" part of the client's address.
Client email the client's email address
Client forenames The Client's first names.
Client home tel The client's home telephone number.
Client house number The client's house name or number.
Client house street The "street" part of the client's address.
Client locality The client's general locality (e.g. "Welwyn Village")
Client mobile tel The client's mobile telephone number.
Client postcode The "postcode" part of the client's address.
Client surname or company The Client's surname or, if they represent a company, the company name.
Client title The Client's title (e.g. Mr, Miss, etc.).
Client town The "town" part of the client's address.
Client work tel The Client's work telephone number.
Customer the name of the Customer (e.g. Firm of Solicitors) that are using the Icon application.
Customer billing address The Customer's normal billing address
Customer ID An internal customer number.
Customer invoice date The date the customer was last invoiced.
Customer start date The date the Icon application was first installed.
Customer type Denotes whether the customer is an ASP customer or not.

Date agents sale memo in The date that the Estate Agent Memorandum of Sale is received. This field is usually automatically populated during the Create Case and New Sale Agreed (Agents Partics or Telecon.) processes.
Date billed The date that the customer was billed for the transaction by Intelligent Conveyancing.
Date buyer enquiries received The date that the buyer’s enquiries are received from the buyer’s Solicitor. This date is automatically populated from the Enquiries Received from Buyer Sols Process.
Date care letter sent The date the Client Care letter was sent to the Client(s), automatically populated during the production of the relevant letters.
Date CIF authority received The date the client(s) return the signed Client Information Form.This date is automatically populated when the user actions the Initial Questionnaire Returned Process and confirms that the Client Information Form has been returned.
Date contract approved The date that the Contract is approved by the buyer’s solicitor
Date contract issued The date the contract for Sale is issued by the Seller’s Solicitor to the Buyer’s Solicitor. This field is automatically populated from letter SPE-17 (To Buyers Solicitor - Enclosing Contract Docs).

Date contract sent to client The date the Contract is sent to the Client(s) for signature. The field can be automatically populated from letter SPE-32 (To Client sending Contract for signature).
Date deeds received The date the title deeds to sale property are received. This field is automatically populated from the Deeds / Title Information Doc Received? process.
Date deeds requested The date that the title deeds to the sale property are requested.  This field is automatically populated from the Request Redstat/Deeds (LENDER) Process.
Date enquiries raised Date enquiries raised
Date extra enquiries received The date that any additional enquiries are received from the buyer’s solicitor. This date is automatically populated from the Enquiries Received from Buyer Sols Process.
Date FF form received The date the Fixture and Fittings Form is returned by the Client(s). The date is automatically populated when the user actions the Initial Questionnaire Returned Process and confirms that the Fixtures and Fittings Form has been returned.
Date first contact call The date the first successful telephone call was made to the Client, manually entered by the user.

Date ID verified The date that all the client's identitie(s) are verified.
Date instructed The date the matter was opened, automatically initialised by Icon.

Date landlord enquiries sent The date that standard Leasehold enquiries were forwarded to the Landlord, its agent or solicitor. This date is automatically populated from letter SPE-19 (To Landlord/Landlord's Agent – Enquiries)

Date ready to exchange Manually entered by the user when all outstanding enquiries have been dealt with and the sale is ready to exchange.
Date replied to buyer enquiries The date that any additional enquiries received from the buyer’s solicitor are replied too. This date is automatically populated from letter SPE-25 (To Buyer's Solr - Ack Enquiries/Interim Reply),SPE-28 (To Buyer's Solicitor - Replies to Addit Enquiries) and SPE-30 (To Buyer's Solr - Enclose Replies to ALL Enquiries).
Date replied to extra enquiries The date that any additional enquiries are received from the buyer’s solicitor. This date is automatically populated from the Enquiries Received from Buyer Sols Process.

Date signed contract held The date the signed Contract is returned to the Firm by the Client(s).
Date SPIF received The date the Seller Property Information Form is received from the Client(s). The date is automatically populated when the user actions the Initial Questionnaire Returned Process and confirms that the Sellers property Information Form has been returned.

Matter status

The system will automatically populate the status of the case once a relevant process has been actioned. This status field will automatically be set to one of the following:

  • No Deal
  • Live
  • Suspended
  • Exchanged
  • Completed
  • Closed
  • Aborted
Property county The address line containing the property county.
Property name or number The address line containing the property name or number.
Property postcode The address line containing the propert postcode.
Property street or road The address line containing the property street or road.
Property title number The property title number.
Property town The address line containing the property town.
Referrer division The division of the referrer ccompany.
Referrer name The name of the Referrer company.
Referrer tel The contact telephone number for a particular referrer division.
Site ID A unique identifier for a customer site, only relevant where a customer has multiple sites.
Time stored The date and time that the case was last updated in the Icon reporting database; this value is based on the server time and is accurate to less than a tenth of a second.
Transaction type The type of transaction, either Purchase or Sale.
